Job Title Human Capital Administrator / PA to Group Head: Human Capital
Overall Job Objective, role and responsibilities
  • Job Purpose 
    To provide an administrative support to the Human Capital Team as well as Personal Assistance to the Group Head Human Capital & Learning. Also providing support to SA employees on and point of contact on all HC ,payroll and training related matters
  • Dimensions 

Responsibility To Ensure Smooth Running Of Group Human Capital And Maintain And Manage Employee Records, Filing System And All Administration Related To Hc & L&D.
liaison between group head: human capital, internal and external clients & suppliers

  • Principal Accountabilities
    (Describe the important end results you are expected to achieve)
    • Assisting the Group Head Human Capital & Learning with administrative support, diary management and presentations
    • Making travel arrangements consisting of flight bookings, accommodation and arranging airport transfers (locally and international)
    • Providing administrative support to the Human Capital team, comprising of a Learning and Development Manager and Human Capital Manager for the region
    • Co-ordinate all recruitment & assessment activity for the SA office
    • Organise meetings and conferences; from sourcing venues, arranging accommodation, airport transfers and luncheons and refreshments
    • Create and maintain an employee filing system
    • Extensive liaison with EXCO, line managers and external service providers
    • Assembly and collation of all payroll information in submission to an outsourced payroll administrator, within stipulated timeframes
    • Gathering and collating schedules on excel for salary increments for both SA office as well as Group Executives.
    • Liaison with all employee benefits consultants i.e. medical aid / provident fund and expatriates
    • Attending to all expatriate matters, gathering information in submission to Home Affairs, drafting supporting letters etc.
    • Drafting and maintaining all employment contracts and increase letters, for both executive members as well as general staff.
    • Assist Learning & Development Manager with all training administration and training material
    • Assisting with gathering information in submission for the Workplace Skills Plan (WSP)
  • Context

a)    Operating Environment:

  • Duties driven by detailed instructions from Group Head Human Capital and  HC Manager and L&D Manager
  • Ad hoc duties given by executive members.

b)    Framework & Boundaries:
Meeting set and agreed time frames for payroll and employee take on documentation

Skills, Experience and Education

Knowledge and Experience: 

  • Tertiary qualification in HR essential
  • 5-10 years relevant experience in HR, payroll  and training administration
  • Computer Literate (MS Office).Excel knowledge at advanced level.
  • Excellent verbal communications skills
  • Very organised with good analytical skills
  • Integrity and confidentiality essential
  • Have worked in the financial services industry, coupled with passion for  human resources administration
  • Sound understanding of the Basic Conditions of Employment and Labour Relations Acts
  • Excellent coordination skills
  • Must be presentable and well spoken
  • Good report writing skills
